    Bar placement and load-in logistics confirmed directly with your venue and catering team, and a certificate of insurance provided to your venue if they require one before approving outside bar service.

  4. 4–6 weeks out

    Final headcount & timeline lock

    Guest count finalized, staffing confirmed to match, and the day-of timeline shared with your bar lead — cocktail hour start, toast cues, and last call all locked in.

  5. Week of

    Final walkthrough

    Setup time, venue access, and power or water needs confirmed with the venue so there are no surprises on arrival.

  6. Day of

    Setup, service & breakdown

    Arrival ahead of cocktail hour, full-service bar through the reception, and a clean, complete breakdown at the end of the night.

Venue requirements

Most upscale venues require proof of liquor liability insurance and licensed bartenders before approving outside bar service, and many have specific rules about whether alcohol can be client-provided or must come through a licensed vendor. We confirm your venue's specific policy during the consultation and provide a certificate of insurance ahead of the event where one is required.

Coordinating with catering

Your caterer handles food; we handle the bar — but the two need to run on the same clock. We coordinate directly with your catering team and day-of coordinator on cocktail hour timing, toast cues, dinner service overlap, and load-in/load-out logistics so nothing collides on the day.
